Summary
We are seeking a highly organized, detail-oriented Administrative Assistant to join our dynamic team. This role is ideal for a highly organized, proactive, and experienced professional who thrives in a fast-paced, ever-changing environment. You will be responsible for providing advanced administrative support to senior management, overseeing office operations, and ensuring smooth coordination between departments. The successful candidate will have a demonstrated ability to manage multiple tasks simultaneously, provide strategic administrative support,
and help improve office efficiency.
Work Term: Part-time/Full-time, 4-month contract.
Work Arrangements:
On-site, 100 - 5400 Minoru Blvd. Richmond, BC. Monday-Friday, 7-35 hours per week, from 10am-5pm.
Responsibilities
• Provide high-level administrative support to executives and senior management, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
• Prepare and edit detailed reports, presentations, and correspondence for internal and external stakeholders.
• Coordinate special projects and initiatives, ensuring timely completion and alignment with business objectives.
• Assist with financial administration, such as processing invoices, budget tracking, and preparing financial reports.
• Manage confidential and sensitive information with discretion and professionalism.
• Proactively anticipate needs and provide solutions to improve operational efficiency.
Qualifications
• Strong organizational and multitasking abilities, with an emphasis on prioritizing and managing deadlines in a fast-paced environment.
• Excellent verbal and written communication skills, with the ability to communicate effectively at all organizational levels.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
• Strong attention to detail and ability to work independently with minimal supervision.
• Experience with financial administration and project management tools is an asset.
• Proven ability to handle confidential and sensitive information.
• Strong problem-solving skills and a proactive approach to managing tasks and challenges.
• A positive, team-oriented attitude with the ability to collaborate effectively across departments.
• High school diploma required; Bachelor’s degree or equivalent experience preferred.
